About SkillsAware
SkillsAware is an AI-powered skills recognition engine developed through a collaboration between SkillsIQ, a skills-focused not-for-profit, Edalex, an award-winning EdTech and SkillsTech company and Dr Mark Keough, and builds on decades of technology and skills expertise. Its SkillsTech platform and associated services captures and maintains an evidence-based indicator of the many skills that individuals accumulate progressively. SkillsAware enables organisations to identify the skills that exist within their workforce and highlight strengths and gaps so they can plan for the future. SkillsAware assists with skills-based hiring and resourcing and supports and contributes to productivity, performance, reward, diversity and equity goals. SkillsAware has relevance for individuals, small, medium and large enterprises and industries in the recognition of current capability, prior learning and experience.
SkillsAware Pty Ltd (‘we’ or ‘us’) collect, use and are responsible for certain personal information about you. When we do so we are regulated under the Privacy Act 1988 (Cth) (Privacy Act) which incorporates the Australian Privacy Principles (APPs) and the Privacy and Personal Information Protection Act 1998 (PPIP Act) and the General Data Protection Regulations (GDPR) which apply across the European Union and we are responsible as ‘controller’ of that personal information for the purposes of those laws.
The personal information we collect and use

- Name, Company/Institution, Job Role, Email, Phone Number and Comments
Other information
IP address and browser user agent string to help detect spam. Note that comments may be checked through an automated spam detection service.
Some examples of when we collect this information include when you subscribe to our communications, leave comments or complete a form on our website or schedule a demonstration of our platforms or services.
b. Personal information you provide about third parties
If you give us information about another person, you confirm that the other person has appointed you to act on their behalf and agreed that you:

c. Monitoring and recording communications
We may monitor communications such as emails and telephone calls for the purpose of tracking the customer lifecycle through customer relationship platforms so that we can review performance and improve the quality of our communications.

How we use your personal information
We collect information about our users for purposes of providing services, personalising content, remember information to help you efficiently communicate with us, analyse how the website is used, diagnose service or technical problems, maintain security, monitor aggregate metrics (such as total number of visitors, traffic, and demographic patterns), and track user content and users as necessary to comply with applicable laws.

We may share your information with law enforcement agencies in connection with any investigation to help prevent unlawful activity if we are required to do so.

The consequence to you of our use of your personal information is that from time-to-time, we may send you marketing campaigns and newsletters relating to our products. You can opt-out of these communications at any time by clicking on the Unsubscribe link, included in all SkillsAware newsletters.
Keeping your information secure
We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
We will also use technological and organisation measures to keep your information secure. These measures include user account access, controlled by unique usernames and passwords with 2-step verification
We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Transfers of your information out of the European Economic Area (EEA)
We may need to transfer your personal data to Australia or Singapore, which are outside of the European Economic Area. These transfers will be undertaken because our business is located in Australia and we use the HubSpot CRM which is hosted in the Asia Pacific availability zone.
Any transfers to these countries will be undertaken on the basis that that country, territory or one or more specific sectors in that country, or an international organisation ensures an adequate level of protection.

SkillsAware Pty Ltd (referred to in this policy as ‘we’, ‘us’, or ‘the platform’) is an AI-powered, human-centred skills recognition solution. Because we help you map your real-world experience to professional skills, we collect and use information that is personal to you.
This policy explains how we manage your data in an open and transparent way, ensuring we meet our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Our Commitment to Transparency (APP 1)
We manage your personal information within a secure environment that is ISO/IEC 27001 certified, ensuring high standards for information security.

2. Information We Collect (APP 3)
We only collect personal information that is reasonably necessary to help you identify and share your skills.
- Account Basics: To set up your account we require your name and email address.
- Voluntary Skills Context: Through our chat interface and onboarding survey, you may choose to provide your industry, job title, years of experience, career goals and similar data.
- The Evidence Hub: You may voluntarily upload evidence files such as CVs, resumes, certificates, and peer recommendations to support your skills recognition claims.
- Sensitive Information: We do not intentionally collect sensitive information (such as health data or ethnic origin). If you choose to upload documents containing such information, we process it only for the purposes described below.
3. Why We Collect and Use Your Data (APP 6)
We use your personal information for the primary purpose for which it was collected: providing skills recognition and workforce visibility. Specifically, we use your data to:
- Map your experience against our library of skills and competencies.
- Generate your proprietary Skills IQ indicator, capability statements and reports.
- Provide real-time suggestions through our AI software to help you match skills and improve your skill scores.
- Help you track your progress toward skills recognition or formal Recognition of Prior Learning (RPL).
4. Notification at Collection (APP 5)
Whenever we ask for your information, we aim to ensure you are aware of why we need it. In most cases, you provide this information directly through our interactive tools. If your organisation (such as an employer) provides us with information about your role or training, it is made visible to you within your account.
5. Sharing Your Information (APP 6)
We take your privacy seriously and do not sell your personal information. We only share your data in the following circumstances:
- With Your Organisation: Authorised administrators within your participating institution can view your skills reports and evidence to support resource planning and hiring.
- With Secure Service Providers: We use trusted partners like Amazon Web Services (AWS) and Microsoft Azure for secure hosting. These providers only access your data to maintain the security and operation of the infrastructure.
- At Your Direction: If you choose to share your digital credentials or reports with a third party, we facilitate that sharing at your request.
6. AI and Automated Processing
SkillsAware uses AI software to support, but not replace, human judgment. Our AI provides suggestions and indicators, but the platform does not make automated decisions that have legal or binding effects on your employment or eligibility.
7. Data Retention and Security (APP 11)
We keep your information only as long as it is needed to support your skills journey or meet our contractual obligations to your organisation.
- Access Control: We use individual user logins to ensure that only you can access your account. Your organisation may implement Multi-Factor Authentication (MFA) or Single Sign On (SSO) via their integrated identity provider.
- Infrastructure: Your data is housed within our secure infrastructure, which is managed under an our ISO/IEC 27001 certified information security management system.
- Retention: We keep your information only as long as it is needed to support your skills journey or meet our contractual obligations to your organisation.
- Disposal: When your data is no longer required, it is securely destroyed or de-identified in accordance with our data governance practices.
8. Data Location (APP 8)
Data Residency and Overseas Disclosure: We prioritise hosting your personal information within your local jurisdiction or region to comply with national privacy laws.
In the event that a local AWS region is unavailable or where a specific service requirement necessitates it, we will only transfer or store data across borders in accordance with the privacy laws of the originating country. This includes ensuring that the recipient is subject to a law or scheme that provides substantially similar protection to the Australian Privacy Principles.
9. Your Rights (APP 12 & 13)
You have the right to access the personal information we hold about you. You can view and update most of your skills information directly through the platform interface at any time. If you need to request a formal correction or wish to lodge a complaint, please contact us at info@edalex.com.
Transfers of your information out of the European Economic Area (EEA)
We may need to transfer your personal data to Australia, which is outside of the European Economic Area. These transfers will be undertaken because our business is located in Australia and we utilise AWS and Azure services hosted in Australia. We may utilise AWS and Azure in other regions for users in that region.
